The thing about running your own business that sucks is… being at your home office all day tied to your computer when you need to do a little bookkeeping. It would be wonderful if you could enter customer payments, track sales and expenses without having to come back home and enter all that info into your computer. You know I’m just setting you up right; of course you can do that stuff and more. Hey, let’s face it sales aren’t made in your comfy kitchen table office. Sales are made on the streets a.k.a. wherever your customers are and why shouldn’t you be able to keep your financial records there too. For example you just sold one of your fabulous hand crafted necklaces at your booth in the local craft fair and you want to record the transaction and email a receipt to your customer but you don’t have your computer with you. No problem, just whip out your smart phone and start your QuickBooks Online Simple Start app and go to town.

You are free…you are liberated from the tyranny of the desktop version of QuickBooks Simple Start. O.K., maybe I’m being a little dramatic here but it’s true that QuickBooks Online Simple Start replaces the Simple Start desktop product for 2011. This is a pretty cool thing for many businesses that are just starting out have just one person, the business owner/entrepreneur, doing everything and wearing many hats.

Simple Start is available for a monthly fee and allows for one user, plus an additional accountant user (hopefully me so I can help you keep everything straight), here are some of the things you can do in the clouds:

  • Create and manage standard invoices
  • Enter customer payments
  • Track sales and expenses
  • Charge Sales Tax
  • Customer Center (improved)
  • Track payments
  • Create 20 different business reports
  • Export data to Excel
  • It’s Automatically backed up if you’re forgetful or just plain busy
  • Print checks
  • Email technical support is included
  • Pay bills
  • Import customer data from Excel

One of the advantages of taking your work to the cloud is that you don’t have to worry about having the latest software or the fastest computer. I think this solution works well for my one person entrepreneur superheroes clients; the best part is they can access their information online from anywhere (like the beach). All they need to do is upload their documents to me and I do the rest or they can take a more active role and enter transactions and run their own report and I’ll be there to get them started and support them. Hey, we are almost through the first week of 2011 and you and I made it through another hectic holiday with family and friends. I spent some time with my relatives and they always ask me “how’s the business going?” I usually reply with a story about how good it felt to help a small business owner organize their financial information. The next question is always the same “what’s your business called again?” When I selected my business name I thought it was clever and descriptive of my clients personalities. Little did I know that most people have never heard the word aspirant before. Some of my relatives pronounced it ass-print which I though might be a great name for a photocopy company but it’s a poor name for an accounting company. My best friend thought it was pronounced Aspirin Bookkeeping because accounting can be a headache for some people -wrong but I can see why he might have thought that. Still others that I don’t know so well such as sales people not wanting to offend me just refuse to pronounce it at all. They just refer to it as “your company”. Well maybe I should have picked an easier name like ABC Bookkeeping but where is the fun in that. So, I don’t want to offend the many intelligent readers but here is my definition of the word aspirant.

Aspirant: one who aspires to great things in life. One who desires to perform a task with excellence e.g. bookkeeping.

So I would change it to something a little simpler but I’m afraid I’ll lose what little Google juice I currently have and have to start over again. Shakespeare wrote; a rose by any other name would smell as sweet and I guess everyone will have to get used to the name Aspirant Bookkeeping.

How to Adjust QuickBooks Inventory

I live near Washington D.C. and one thing that really surprised me about the area is the number of rolling bakeries we have around here. It seems that every corner has some sort of truck selling assorted goodie from pizza to cupcakes. By the way if you’re reading this and you’re the proud owner of [...]

“The greatest oak was once a little nut who held its ground.”–Author Unknown I love this quote because it seems unlikely that greatness would follow a small bout of insanity but I think it’s true. Going a little crazy and breaking the rules of business often leads to successful ideas. Maybe you’re starting a business [...]

How to Write Off Bad Debts in QuickBooks

Open Book Management – Sharing Important Info with Your People

What is open book management? Let’s say you own a mobile cupcake bakery and you drive around the city selling your sugary delicacies to anyone that can catch you but your employees continuously waste your dough. You want a way to get them more involved with the success of the company, right? Have you ever [...]

Why Waste Your Advertising Budget

The saying goes, “advertising is half wasted, but the trick is to know which half is wasted”. I think a big part of finding out which half of your advertising budget is wasted is examining where you are advertising your business. Advertising online is the best value for your money, especially since it’s mostly free. [...]

Happiness Is Minding Your Own Business

I recently took and very long trip, a total of 1,500 miles and 20 hrs in a rented minivan. One of my favorite things to do on long trips is to listen to audio-books; seriously I have about 50 of them on my Iphone. For this especially long trip I chose Delivering Happiness by Tony [...]

How to create a budget using QuickBooks

The word budget comes from the French word for purse (bougette) which is where you keep your money, but today we use the term budget to describe a plan for how we will use that money. Using a budget is a great tool for any small business trying to manage their cash flow. In fact, [...]
